Sending faxes Send faxes in a variety of ways to suit your needs and those of your organization . Zetafax offers the widest choice of client applications that can be deployed in a single network environment for sending and receiving faxes.. - From the Zetafax ClientIf Zetafax is used on a standalone basis, faxes can be sent directly from the Zetafax Client. Modelled on Microsoft Windows XP, the client is attractive, functional and highly intuitive, keeping training and internal support requests to a minimum. - From emailAll Zetafax systems include an Email Gateway that supports Microsoft Exchange 2003, 2000 & 5.5, Lotus Domino 6.5, 6 and R5 and SMTP email systems. The Email Gateway enables email users to send and receive faxes just like email. - From the Web ClientThe Zetafax Web Client allows network administrators to deploy Zetafax to all network users without the need to install a separate fax client, thus speeding up deployment to multiple users and reducing administration costs. - Faxing your Microsoft Office ® documents directlyZetafax is integrated with Microsoft Windows XP Professional and Microsoft Office XP, so users can fax direct from Word, Excel or PowerPoint. - Fax directly from any departmental applicationZetafax can be used more widely by fax-enabling other applications that your staff use with the Zetafax API Toolkit. Receiving faxes Zetafax can deliver inbound faxes in a variety of ways to suit differing requirements. DDI routing comes as standard with all Zetafax starter systems. It requires suitable hardware and telephone lines.
- To individual PCsFor more private and immediate delivery, faxes can be routed directly to individual PCs, or to specific departments using the Zetafax DDI routing feature. Each user can be allocated a DDI 'virtual fax' number which does not require its own dedicated phone line. - To a designated individualA simple method is to assign one person at your company to receive all faxes. This person can then forward faxes via email to intended recipients. - To a departmentBy assigning a DDI number to a department, rather than an individual, faxes can be sent to specific groups of users. Using the automatic printing feature, faxes can be printed to a nearby printer, for an ideal way of replacing departmental fax machines. - To a central printerFaxes can be delivered to any network printer and printed automatically.
Direct Dial Inward (DDI) routing Companies with a PBX phone system where extensions can be dialled directly from outside, rather than via the switchboard, use technology called Direct Dial Inward (DDI) - sometimes called Direct Inward Dial (DID). Zetafax supports DDI routing as standard. - Supporting DDI routing with intelligent fax boards and ISDN controllersEquisys recommends intelligent fax boards and active ISDN controllers from Brooktrout, Eicon or Dialogic for supporting DDI routing on ISDN lines with Zetafax. These boards work with the Zetafax DDI module to route faxes direct to desktops, offer call cost savings on outbound faxes and speed up the process of sending and receiving large numbers of faxes. The boards are ISA or PCI and range from a two channel board for connection to one ISDN2 line to those suitable for connection to an ISDN30 line. DTMF tones from an analogue PBX can be used with analogue intelligent fax boards to route to users' desktops, as long as sufficient spare direct dial numbers exist on the PBX. Sender ID routing can be used to route all faxes from a particular sender to a particular Zetafax user. Line based routing can be used with multiple lines: without DDI numbers, each incoming line can be allocated to a user. - Departmental DDIEveryone in a workgroup or department can share a single fax number. Any fax sent to that number will appear on all group members' screens. It can also be printed on a nearby network printer. - Individual DDIEvery individual fax user in an organisation can be provided with fax to their own PC, so they can send and receive faxes directly. This ensures complete privacy and saves time, enhancing fax efficiency. - Using direct dialling with DDI linesIn North America, direct dial calls are supplied via an analog DDI line. The simplest way to configure direct dial faxing is to install a separate DDI line for faxing, and connect this to the Zetafax server. Many DDI operators do not allow outbound calls to be made on DDI lines, so you may also need to install conventional telephone lines for sending faxes. - Using direct dialing with ISDNIn most European countries, including the UK, direct dial calls are supplied via a digital (ISDN) line. The simplest way to configure direct dial faxing is to install a separate ISDN line for faxing, and connect this to the Zetafax server. Many ISDN operators offer two direct dial options: Multi Subscriber Numbering (MSN) where only ten or fewer separate numbers are required, and Direct Dialing Inward (DDI) for more numbers. Zetafax can be used with both options.
Using Zetafax on a laptop Zetafax automatically detects if the computer is connected to a network fax server. If it is not, a locally installed version of the fax server will start up and operate using the laptop's fax modem. Zetafax operates on Windows XP, 2000 and NT and supports most laptop fax modems. Faxes that have already been sent or received can be stored on the laptop as compressed TIFF files and are easily retrieved. Archived faxes can then be resent using the same coversheets and letterheads used at the office - delivering a consistent and professional company image.
